You’ve picked your window and your list. Now configure the agent and ship.

Configure the offer

What’s the headline of your event? Three patterns work:

Pattern 1 — Event-driven “VIP Appreciation Event — Saturday + Sunday only. Free detailing with every test drive.”

Pattern 2 — Trade-driven “Trade Bonus Weekend — $500 over Black Book on any 2018-2022 trade-in this Saturday.”

Pattern 3 — Inventory-driven “Model Year Clearance — last 12 of the 2025 [model], priced to move this weekend.”

Pick one. Don’t combine. AI gets one offer to mention, naturally, when the conversation calls for it.

Configure the agent voice

The Private Sale agent is a separate AI agent from your S2L agent. Different tone (a touch more event-driven), different urgency (deadline-aware).

Default name: Maria, Event Coordinator. Same naming pattern as Julia. Change by request to Diablo support.

Open the agent’s Key Notes (same template as your S2L agent — see AI Agent Key Notes Template). Add 2 sections specific to the event:

  • What this event is — one sentence (your offer headline)
  • Deadline — exact end time (e.g., “Sunday at 5 PM”)

That’s it. Same Key Notes structure + 2 event-specific overlays.

Set escalation rules

Same 4 default rules as S2L plus one Private-Sale-specific rule:

  1. Customer asks “Am I getting a good deal?” — escalate to a human. Pricing conversations during events need a desk.

Toggle that on.

Pre-launch check

Before you hit Launch, scan the preview:

  • Date window is correct
  • Contact list count matches your tier
  • Offer copy reads cleanly
  • Escalation rules include the 5th (deal-quality question)
  • Routing — escalations go to your event lead (often you)

Launch

Hit Launch Event.

AI starts sending the first message to all contacts within 60 seconds. Stagger is automatic — AI sends in waves over 4–8 hours to avoid carrier flagging.

What happens next

Within 4 hours: AI has sent the first message to every contact. Reply rate on this first touch is 5–15% — customers who reply immediately.

Within 24 hours: First appointments start booking. AI sends follow-up #2 to non-responders. Reply rate climbs.

Through the event window: AI sends 3–5 outreaches per contact. Each touch surfaces more responses. Appointments stack.

Day after the event: AI auto-shifts to “post-event nurture” mode. Anyone who didn’t book gets one follow-up: “Sorry we missed you this weekend — want to set something up next week?” That last touch closes another 2–3% of the original list.

Course complete.

The first time you launch a Private Sale, the conversion math will show up live in your scorecard. Most dealers run their second one within 30 days because the first one paid for itself many times over.
